What is included in the service?
The Fixed Price Virtual Address Service includes the forwarding of your mail for a fixed annual fee with no further postage costs or admin fees. Mail arrives at our office addressed for you, we add new postage, a new address label and forward the letter to your forwarding address.
The virtual address service includes the forwarding of official government notices (Registered Office mail) and general business mail or personal mail if we are providing the service in your personal name. We can only accept letters including printed papers up to 1KG in weight. We are not able to accept and forward any parcels or goods. All items of mail received will be deducted from the number of items allowed under your fixed service. The post team will try to remove all junk mail to prevent using up your service however not all junk mail can be identified if it is sent in plain envelopes.
Yes. You can use our address as the registered office for a UK company or LLP. Companies House and HMRC will only write to companies at the official registered office. Any letters arriving from these organisations is included in the fixed price service and will reduce the remaining balance of letters to be sent. As an example, if you have ordered the 30 item package and we forward you a letter from Companies House, your balance will be reduced to 29 items of mail.
Yes. To be safe we ask customers to enter their company name in the first line of the service address record at Companies House so any mail clearly displays your company name. For example, if your company is called ‘ABC Trading Limited’ address line one for the directors service address at Companies House should be ‘c/o ABC Trading Ltd‘. This will ensure government organisations show the company name when writing to you at our office as we are not able to maintain a list of all directors for a companies we provide the address service to.
Yes, you can use this as your own business address. You will need to purchase the correct level of service if you are using the address on your website and written communication, as this could increase the number of items you receive. If you have purchased the lowest volume of 30 items this may be used in a very short period of time if you have a lot of website visitors that want to write to you. When using our address on websites we recommend you detail on your site how you want to be contacted by your customers and encourage email if that is your preference.
How does the service work?
You choose the number of letters you want to be forwarded to you during a 12 month service. So if you select 60 letters per year, we will forward up to 60 letters during a 12 month period. The service ends when we have forwarded 60 items or a year has passed, whichever comes first.
If you receive your chosen number of items in a period shorter than 12 months then your service expires. The service runs for 12 months or until you have received the number of items included in the package you have purchased. We will notify you before reaching your item limit so you can decide if you wish to renew the same service for the same number of items or you can purchase a higher volume option.
If we have been providing the service for 12 months and you have not used the full number of items allowed in your package, the remaining items will expire at 12 months. It is not possible to transfer these to a new service or roll them over into a new period.
No. The fixed price mail service is designed to monitor mail received under a single company name or single persons name. If you trade under different business names, and anticipate receiving mail displaying the different names, you will need to purchase multiple services.
When we have forwarded the number of items included in your package, the service expires. If you wish to have further items forwarded you will need to purchase a new service which will run for 12 months from the date of purchase or until the number items have been forwarded. At this time you may choose to select a larger volume of mail package or move to our flexible price virtual address.

Just in case the service is not clear, here are a few extra questions you may need answering.
When items are received in our offices they are sorted using the company name, personal name or ‘identifier’ in the address. The identifier is a unique word or phrase that is often used for personal mail clients who have a common name such as Smith. The identifier can be a word or flat/suite number of your choice that is used to separate your mail from clients with the same surname. Please contact us if you would like to check a particular identifier is not already in use.
Yes. The service can be used to receive mail in the name of an individual rather than a company name. When receiving personal mail we request clients’ use an identifying phrase in the address to ensure mail can easily be sorted and assigned to their service. For example, you could add APARTMENT 22, CASTLE VIEW, or THE MEADOW so we can easily sort your letters. It is quite likely that we have customers with similar surnames, so this will ensure your mail is correctly sorted and forwarded to you.
Yes. If you are currently using our registered office address we can calculate the remaining fee for your service and deduct it from the fixed price service of your choice to provide the fee to upgrade and start a new service for 12 months of your preferred number of items. If you would like a quote to upgrade, contact us by telephone or email with your company name.
All mail received into our office must display your company name or unique identifier so we can sort and forward mail to the correct location. If this is not included we cannot ensure mail is forwarded efficiently to the correct address. Most businesses receive mail addressed to the company name. It would be unusual for someone to simply write to Mr Jones regarding a business matter and not include a business name. We recommend you always display your business name at the start of the address wherever it is displayed to avoid it being excluded when people write to you.
