What is included in the service?

The Flexible Price Virtual Address Service includes the forwarding of general mail for an unlimited number of items. You pay the annual fee and a mail deposit which covers the postage and admin costs of forwarding your mail. Mail arrives at our office addressed for you, we add new postage, a new address label and forward the letter to your preferred address.

The flexible price address service includes the forwarding of general business mail or personal mail if we are providing the service in your personal name. We can only accept letters including printed papers up to 1KG in weight. We are not able to accept and forward any parcels or goods. All items of mail received will be forwarded to your address and the postage costs deducted from the mail deposit we hold on record. The post team will try to remove all junk mail to prevent using up your deposit however not all junk mail can be identified if it is sent in plain envelopes.

No. This service is designed for the forwarding of general mail and not government items. If you require a registered office service you will need to purchase this in addition to the flexible price virtual address service.

No. Only Companies House require a directors service address, the flexible price Service is designed to receive and forward general mail only. If you require a directors service address this is included free of charge when purchasing the Registered office service.

Yes, you can use this as your own business address. You can display the address on your website and written communication as a general correspondence address for your clients. We can not accept any parcels or good at our addresses and you should not use our address for returning products.

How does the service work?

You choose your preferred office location and a mail deposit to cover the postage and admin costs of forwarding your mail. The address fee is renewed every 12 months and the mail deposit is topped up when it has been reduced to approximately £5. There are different levels of mail deposit available depending on how many items you expect to receive.

If you receive a large number of items and your mail deposit is used in a period shorter than 12 months then we will contact you to request a new top is purchased. At this point, you can purchase a higher value mail deposit. We will notify you before the deposit has been completely used as this allows you to purchase the top up so we can continue forwarding mail without any delay.

If we have been providing the service for 12 months and you have not used the full deposit this will be carried over to the next 12 months. You only need to purchase a new mail deposit when your existing deposit reaches approximately £5.

No. The flexible price mail service is designed to monitor mail received under a single company name or single persons name. If you trade under different business names, and anticipate receiving mail displaying the different names, you will need to purchase multiple services.

Just in case the service is not clear, here are a few extra questions you may need answering.

When items are received in our offices they are sorted using the company name, personal name or ‘identifier’ in the address. The identifier is a unique word or phrase that is often used for personal mail clients who have a common name such as Smith. The identifier can be a word or flat/suite number of your choice that is used to separate your mail from clients with the same surname. Please contact us if you would like to check a particular identifier is not already in use.

Yes. The service can be used to receive mail in the name of an individual rather than a company name. When receiving personal mail we request clients’ use an identifying phrase in the address to ensure mail can easily be sorted and assigned to their service. For example, you could add APARTMENT 22, CASTLE VIEW, or THE MEADOW so we can easily sort your letters. It is quite likely that we have customers with similar surnames, so this will ensure your mail is correctly sorted and forwarded to you.

The Flexible Price mail service is designed to be purchased in addition to the registered office service. If you are expecting high volumes of general mail then you will need to purchase the flexible price service alongside the registered office. If you are not expecting high volumes of mail you may benefit from using our fixed price address service.

All mail received into our office must display your company name or unique identifier so we can sort and forward mail to the correct location. If this is not included we cannot ensure mail is forwarded efficiently to the correct address. Most businesses receive mail addressed to the company name. It would be unusual for someone to simply write to Mr Jones regarding a business matter and not include a business name. We recommend you always display your business name at the start of the address wherever it is displayed to avoid it being excluded when people write to you.
