Moving to a new office is an exciting milestone for any business – but in the rush of organising removals, notifying clients, and getting set up in a new space, it’s easy to overlook your legal obligations. If your business is a registered limited company, there are some important updates you’ll need to make with Companies House and other important organisations. Miss them, and you could face penalties or find that important legal correspondence goes to the wrong address.

Here’s a straightforward checklist of everything you need to update.

  • Your Registered Office Address

    Your registered office is the official address of your limited company – it’s where Companies House and HMRC will send legal notices and correspondence. It must be a physical address in the same country your company is registered in (England and Wales, Scotland, or Northern Ireland), and it must be kept up to date at all times.

    To update it, you’ll need to file a AD01 form with Companies House. You can do this online through the Companies House WebFiling service, and the change takes effect immediately once processed. There’s no fee for this update.

  • Your Director’s Service Address

    As a company director, you’re also required to provide a service address – this is the address that appears publicly on the Companies House register for correspondence directed at you personally. If this was previously your office address, you’ll need to update it too.

    This can be updated via the Companies House WebFiling portal. Many directors choose to use a virtual service address rather than a personal or office address to keep their details private.

  • Your HMRC Records

    Companies House and HMRC are separate, so updating one doesn’t automatically update the other. You’ll need to notify HMRC of your new address separately to ensure tax correspondence, including letters about Corporation Tax and VAT, reaches you correctly.

    You can update your address with HMRC through your online business tax account.

  • Your VAT Registration (If Applicable)

    If your business is VAT registered, your address on your VAT certificate will also need to be updated. This is done separately through your VAT online account via HMRC’s portal.

  • Your Business Bank Account and Other Suppliers

    While not a Companies House requirement, it’s worth updating your address with your business bank, any professional bodies you’re registered with, and key suppliers at the same time. It’s also a good opportunity to update your website, email signature, invoices, and Google Business profile.
